Back Secretary Doctors’ Clinics

Key Responsibilities:

♦ Performs a variety of receptionist and secretarial tasks. Includes answering phone, taking messages, re-directing calls, scheduling and confirming appointments, receiving and welcoming patients and guiding them to other departments
♦ Prepares and updates patients’ files (hard or electronic). Includes filing all tests results and reports, performing data entry when needed and maintaining necessary confidentiality
♦ Handles cash received from patients’ visits, prepares receipts and fills related forms such as NSSF, medical insurance documents, etc
♦ Assists physicians to fill all needed papers and forms for inpatients admissions and outpatients’ tests related to third party payers. Advises patients to have their medical record number at the hospital for easy reference and to pass by their insurer’s office to get an approval for all orders at once before proceeding with the tests and examinations
♦ Assists physicians, when needed, in minor medical acts in the clinics, such as helping in aseptic technique, preparing equipment and trolleys for different procedures and examinations, changing cover paper, applying eyes drops, counts cleaned instruments and takes them to the central sterilization supply room for sterilization and exchange, etc
♦ Assists the physician in gathering data and statistics as needed
♦ Receives incoming correspondences and hand them over to the physician
♦ Requests supplies and materials for clinics from the main store. Informs Plant Maintenance or Medical Engineering for any maintenance needs

Job Requirements:

♦ Completion of secondary (12 years) education or BT in secretarial studies or equivalent
♦ 3 months on the job training
♦ Pleasant and accommodating character able to help patients and visitors
♦ Computer literate
♦ Good knowledge of written and spoken Arabic and English / French
